[Launched] Archive Recommendations - Clean Up Your Workspace 📦

We’ve all been there: Your dashboard list is a mile long, and half of it is unused content. It’s hard to know what’s safe to archive, and nobody wants to delete something important by mistake.

To solve this, we’re excited to introduce Archive Recommendations, a new smart feature that helps you quickly identify and clean up old content.

:gear: How it works

Archive Recommendations analyzes your workspace and shows items that haven’t been used lately:

  • Dashboards: No views in the last 30 days
  • Datasets: No direct views or no connected dashboard views in the last 30 days.

I like this a lot, doing a clean up right now so definitely on my mind.
Couple of QOL things - it would be nice if we could set the number of days, maybe in admin settings (i.e. not as a filter on the Archive page, but hidden). It would also be good to be able to sort by Creator and Last Viewed At. Last suggestion, a check boxes and Select All for bulk archiving.

[Launched: Quick endorse/archive an object from sidebar]

We’ve rolled out a small enhancement that lets you endorse or archive an object directly from the Reporting sidebar — no need to open it in edit mode or switch to Development anymore.

One more suggestion from me for the archive functionality - it would be good if we could exclude dashboards that have scheduled delivery.

Thank you for raising this. We totally agree that dashboards used for external reporting should absolutely not be flagged as inactive. We understand how important these are and appreciate you highlighting this gap.
Just wanna share with you the context:

  • We realized that “inactive” means different things to different teams, and the best solution is customizable rules. Unfortunately, due to resource constraints, we had to launch with a fixed, minimal version focusing only on internal usage metrics.
  • Supporting those customizable rules is in our backlog. We will revisit it when we receive more requests and feedback that support the need for customized rules.

As a workaround, we’re planning to show the number of schedules and alerts next to each recommended item. That should give you enough signal to decide what should or shouldn’t be archived. Would this help your team make more confident decisions?
